Job Title: Executive Administrator
Location: North America - Foster City, CA
Department: Administration
Reports To: Executive Staff


General Summary

Provide executive administrative support to several key VP positions and their respective teams. Must demonstrate strong organizational, interpersonal and leadership skills, and thrive in a dynamic environment. The ideal candidate will be able to set priorities independently and skillfully juggle multiple tasks, while maintaining “bigger picture” awareness.

Specific Duties

  • Coordinate schedules and arrange meetings
  • Make travel arrangements including International travel and preparation of itineraries.
  • Submit and track internal requests.
  • Prepare & track expense reports.
  • Process purchase orders for the team
  • Prepare invitation letters for visa purposes / visa coordination.
  • Interface with high level executives both internally and externally in a professional, effective manner.
  • Assist in preparation of presentations, correspondence, memos, etc.
  • Act as liaison with other departments and outside agencies, including senior-level management.
  • Handle highly sensitive, confidential and non-routine information.
  • Cover Reception desk duties  (shared with other admins as back-up to receptionist)
  • Coordinate meetings and group events including team building, guest speakers
  • Track department budget, maintain spreadsheets, generate reports, etc.
  • Attend weekly department staff meetings and track action items

Qualifications

  • Bachelors degree or equivalent required
  • 5-10 years progressive executive administrative experience
  • Computer and Internet literate
  • Ability to work with a diverse team with varying personalities and support requirements
  • Must be detail oriented, accurate, extremely organized, and customer service oriented.
  • Handle confidential information with discretion
  • Expertise in MS Office, specifically Outlook, Word, Power Point, Excel
